Using the HubSpot integration

Last Updated 4 months ago

Before using the HubSpot integration, you must have set up an integration between Quickchannel and HubSpot as described in this article.

Setting up an event

When setting up a live event, find the Registration section and enable HubSpot registration. It is highly recommended to disable Quickchannel registration when using the HubSpot registration to not have multiple registration pages.

When using the HubSpot registration, only email addresses will be transferred from HubSpot to Quickchannel. These email addresses will be used to send out unique links to the event page where the live event player will be presented. After the event, the engagement data connected with these email addresses will be shared with HubSpot.

Registration workflow

To use this integration, you are required to use HubSpot's own registration forms, along with setting up a new workflow that is tied together with the form. To accomplish this, we recommend a workflow similar to:

  1. Set up your custom registration form in HubSpot
  2. Create a Contact-based workflow
  3. Choose form submission as the trigger and select the form you created
  4. Add a new action and select "Event Registration" below the Quickchannel section
  5. In the dropdown field, choose the live event in Quickchannel you would like to sent invites to
  6. Publish the workflow

Registration email setup

Quickchannel will send out a unique link to each registrant. In the email sent out by Quickchannel, the unique link makes it possible to track and send the viewer data back to HubSpot.
The email registration confirmation email sent from Quickchannel platform, can be sent out in any step of a HubSpot workflow. In the registration workflow example above, the confirmation email is sent out in step number four.
When using HubSpot, the email registration confirmation in Quickchannel should always be enabled.

Registration email customization

You can customize the confirmation email under Quickchannel Settings → Email notifications.
The email Live event registration confirmation should always be on.
Before and after the unique link is sent, you can sent reminders from HubSpot to your registrants. If you do, make sure you disable reminder emails from Quickchannel under Settings → Email notifications, so your registrants don't get flooded with reminders.
If you prefer to manage all email communications for the event through the Quickchannel platform while collecting submissions via HubSpot (Form), you can do so. You can customize the emails and reminders sent out by navigating to Quickchannel Settings → Email notifications.

Analyzing viewer data in HubSpot

To be able to view the Quickchannel data in HubSpot, you need to create a list.
You create a list from the HubSpot menu Contacts → List.
Filter on contact object and the integration filter and select Quickchannel.
From this view, you will be able to filter and segment on the following data:
- Viewed time (Hours, minutes and seconds) from each viewer
- Event titles (if several live events)
- Dates - filter by events during a specified time period
