Metadata page - Managing categories, tags and properties
The Metadata page allows administrators to manage the metadata used to organize media in Quickchannel.
Go to Settings → Metadata.
The page contains three types of metadata:
- Categories – organize media in a structured hierarchy and can be used to control media access through Groups.
- Tags – flexible metadata for describing and classifying media.
- Properties – purpose-specific metadata, commonly used for integrations and custom workflows.
Categories
Categories provide a structured way to organize media.
From the Categories section, you can search for categories, create new ones, edit existing categories, and control their visibility and Group access.
Add or edit a category
Click Add Category to create a category.
Enter a Category name and, if applicable, select a Parent category.
Selecting a parent creates a subcategory and allows categories to be organized hierarchically.
When editing an existing category, you can change both its name and parent category.
For more information about creating, arranging and working with parent categories and subcategories, see Hierarchical categories.
Category visibility
The visibility icon controls whether a category is displayed in the Videosite menu.
- Visible – the category is shown in the Videosite menu.
- Not visible – the category is hidden and labelled (Non public) in Console drop-down.
- Visibility disabled – a parent category is hidden, which also hides its subcategories.
Category visibility does not control which Console users can access media in the category. Console access is controlled separately through Roles and/or Groups.
Media visibility is also managed separately on each media item.
A category can only be removed when it does not contain any media or subcategories.
Categories and Groups
Categories can be used with Groups to control which media users can access and manage.
Group access can be configured directly when adding or editing a category, or from Settings → Users → Groups.
The available access levels are:
- Own media – users can access and manage media they already own in the category, but cannot add new media or view media owned by other users.
- View media – users can view the category and all media in it, but cannot add or remove media or edit media they do not own.
- Manage media – users can view the category and all media in it, add or remove media, and manage media with the same permissions as the media owner.
If no Group access has been configured for a category, Default access applies. The category is available to users, who can add media but only access media they own.
A user's Role and Group access work together but serve different purposes: the Role determines what the user can do, while Group access determines which categories and media the user can access and manage.
Categories with restricted access may still appear in the category hierarchy. For example, a parent category can appear locked when the user needs it to navigate to an accessible subcategory.
A category using Own media can also appear locked when the user owns media within it.
For a complete explanation of Groups, access levels and how Group access affects categories and media, see [CROSS-LINK: Group-based access – Controlling access to media].
Tags
Tags provide a flexible way to describe and classify media.
Choose how tags can be created:
Permit creating tags on the fly allows users to create new tags while working with media.
Only allow predefined tags restricts users to tags that have already been created.
To create a predefined tag, enter its name under Add new tag and click +.
Existing tags can be renamed using the Edit action.
The Media column shows how many media items currently use each tag.
Properties
Properties are purpose-specific metadata and are particularly useful for integrations and custom workflows.
As with Tags, you can choose between:
- Permit creating properties on the fly
- Only allow predefined properties
To create a predefined Property, enter its name under Add new property and click +.
Existing Properties can be renamed using the Edit action.
The Media column shows how many media items currently use each Property.
Properties can be useful when Quickchannel is integrated with other systems and specific metadata needs to be exchanged between platforms.
Using metadata on media
Categories, Tags and Properties can be assigned when managing individual media.
Categories and Tags can also be changed for multiple media items using bulk actions in the Media list.
Which metadata type should I use?
A simple rule of thumb is:
| Type | Use it for |
|---|---|
| Categories | Organizing media into a structured hierarchy and controlling Group access |
| Tags | Flexible classification and descriptions |
| Properties | Custom metadata, workflows and integrations |
Avoid storing the same information in several metadata types when one is sufficient.
